Controller and contact

Asociación Herpetológica Española (AHE), Spanish tax identification number G78291788, is the controller of personal data managed through its project SOSanfibios.org. Its registered office is Museo Nacional de Ciencias Naturales, C/ José Gutiérrez Abascal, 2, 28006 Madrid, Spain. It is registered in the Registro Nacional de Asociaciones under national number 58032.

AHE has outsourced the functions of its Data Protection Officer to LAE Consulting Normativas, S.L., Juan Fermín Gilisagasti 2, oficina 215, 20018 Donostia–San Sebastián (Gipuzkoa). Requests relating to SOSanfibios can be sent to the institutional contact above.

Donations

GiveWP manages first name, last name, email, country of residence, amount, campaign and form, donation status, anonymity, publication consent and technical payment references. We use these data to process the requested donation, issue its receipt, address problems and fulfil applicable obligations. The basis is performance of the requested relationship and, for applicable accounting or tax duties, compliance with legal obligations.

Fields marked as required are necessary to process the request. Without them the form cannot be completed. Permission to publish your name is optional and is not a condition of donating.

Stripe processes the payment. SOSanfibios/WordPress does not store the full card number or CVC: card fields are handled through the Stripe integration. GiveWP retains administrative data and transaction references, not those full card details.

Public donor community

The community displays one entry for each completed real donation across all campaigns; it excludes test, pending, failed, cancelled and refunded donations. Your first name and last-name initial are shown only with specific, optional consent, which is unchecked by default. Without consent, the entry reads ‘Anonymous donor’. The anonymous donation option is also respected.

No email, amount, date, campaign, identifiers or payment data are published. Consent is linked to each donation. You may withdraw it at any time by contacting the institutional email: your name will stop being displayed and the entry may remain anonymous, without necessarily deleting the required financial record. Withdrawal does not affect the lawfulness of earlier processing.

Contact and collaboration

The contact form collects name, email, subject and message. It is sent to sosanfibios@herpetologica.org and stored in WordPress/Jetpack to manage and answer the enquiry. Requests relating to a donation or collaboration are handled as part of that requested relationship; other enquiries rely on AHE’s legitimate interest in responding to people who contact it, without uses incompatible with that purpose.

For collaboration and sample submissions, we may process the contact details and associated documents you provide to coordinate and follow up the collaboration. Do not send unnecessary personal data. Sending an enquiry or sample does not by itself authorise publication of identifiable personal information.

Providers, security and transfers

Hosting, email, maintenance, security and anti-spam providers, including WordPress.com/Automattic, Jetpack and Akismet, are involved as needed for their services. They may process technical data such as IP address, browser, timestamps and usage logs, as well as information required by forms. Browsing technologies are explained in the Cookie policy.

Stripe receives the data needed to process the transaction and may act as processor or as controller for certain security, fraud-prevention and compliance purposes. See its Privacy policy and Data Processing Agreement.

These providers operate internationally and their services may involve processing outside the European Economic Area. Their documents describe applicable entities, destinations and safeguards, such as adequacy decisions or standard contractual clauses where relevant. Retention

Donation data and receipts are retained for as long as needed for legal or tax duties and potential liabilities. Enquiries are retained as long as needed to handle them and address potential liabilities. Evidence of consent and withdrawal is retained as needed to demonstrate their handling. Technical logs are kept according to security and operational needs and provider policies. These criteria do not mean retaining all data indefinitely.

Your rights

You may request access, rectification, erasure, objection, restriction and portability where applicable, or withdraw consent, at sosanfibios@herpetologica.org. Explain your request and provide enough information to locate the processing; additional identity information will be requested only where necessary and proportionate. Erasure may be limited by retention duties.

You may complain to the Spanish Data Protection Agency (AEPD) if you consider that your rights have not been respected. Withdrawing publication consent does not require withdrawing your donation.
